IFA Administrator

Location: Bristol (Hybrid - 3 days office / 2 days home)Hours: Full Time, Monday-Friday, 9am-5pmDepartment: Client Support / Adviser Support / Distribution (Client-Facing)

An exciting opportunity has arisen for an experienced IFA Administrator to join a growing wealth and financial planning business undergoing significant expansion through strategic acquisitions. This role sits within a supportive, fast-moving environment that combines the energy of a growing organisation with the stability of private-equity backing.

You will provide high-quality administrative and technical support to financial advisers, ensuring clients receive an exceptional service and that all work is completed in line with FCA guidelines and internal processes.

This is a hybrid position, working three days per week from the Bristol office and two days from home.

Key Responsibilities

Client Review & Adviser Support

  • Prepare for client review meetings by ensuring all client and plan information is accurately recorded and up to date.
  • Request plan information from providers via email, post or online platforms, and chase regularly to meet deadlines.
  • Upload all received information to the internal system and maintain clear, accurate records.
  • Update contributions, withdrawals, linked transfers and income expectations for all client plans.
  • Validate unit balances, fund data and pricing feeds to ensure accurate plan valuations.
  • Collate costs and charges for all plans, including commission, fund-based and adviser charges.
  • Produce client valuation reports using system templates.
  • Create 'OneNote packs' including fund research, KIDs, data capture forms and valuation reports.
  • Support advisers in preparing comparisons between old and new investment propositions.

Case Preparation & Submission

  • Prepare and complete plan information checklists for submission to the AST team.
  • Liaise with providers to obtain missing or outstanding information.
  • Review and validate client income expectations stored within the system.
  • Ensure data accuracy to support correct valuations and revenue reporting.

Client Service & Administration

  • Maintain regular contact with advisers and client support teams to ensure excellent service delivery.
  • Produce client letters and handle incoming calls via the main switchboard.
  • Respond promptly to client and provider enquiries by phone and email.
  • Create and maintain well-structured client files.
  • Process new business applications and submit documentation accurately and on time.
  • Chase providers as required to ensure progress and completion.
  • Stay up to date with new products, market changes and legislation.

Compliance & Team Contribution

  • Ensure all work complies with FCA and internal compliance policies.
  • Engage in training, development and continuous improvement.
  • Carry out ad hoc tasks when required, always prioritising Treating Customers Fairly (TCF) and business needs.

Essential Skills & Experience

  • Minimum 12 months' IFA administration experience supporting financial advisers.
  • Previous experience within a regulated or financial services environment.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and highly accurate work approach.
  • Confident IT skills and ability to work across multiple systems.
  • Methodical, organised and able to prioritise effectively.
  • Problem-solving mindset and ability to work proactively.
  • Knowledge of the full advice process.
